Privacy Policy

This Policy applies to all personal information handled by AMCC, including that of employees, volunteers, donors, customers, members, and visitors.
AMCC (“we”, “us”) is committed to taking the necessary measures to protect the personal information entrusted to us with applicable laws and regulations.
Defining personal information
Personal information is any information that can be used to distinguish, identify, or contact a specific individual. This information can include an individual’s opinions or beliefs, as well as facts about or related to the individual.
However, ‘personal information’ does not include business contact information or certain publicly available information, such as names, addresses, and telephone numbers as published in telephone directories, are not considered personal information. Information in the public domain is not subject to privacy legislation and as such is not included in this policy.
Where individuals use their home contact information as business contact information, the AMCC considers that the contact information provided is business contact information and is not therefore subject to protection as personal information.
We consider donor and volunteer information always to be personal information and do not disclose information about donors or volunteers without consent.
The AMCC observes the following practices when collecting, maintaining, and using personal information:
Donations
Online donations may be processed through CanadaHelps, or other third party fundraising platforms selected by AMCC. These service providers may collect personal information such as your name, contact details, and payment information on our behalf. Each provider handles donor information according to its own privacy and security practices. We encourage donors to review the privacy policy of CanadaHelps and any other platform used when completing a donation.
Activity Bookings
Registrations and payments for certain AMCC activities may be handled through Sépaq or other authorized booking platforms. These service providers collect personal information directly from users when bookings are made, and their respective privacy policies govern how such information is collected, used, and stored. Users are encouraged to review the privacy policy of Sépaq or any other platform used for bookings.
Information We Collect and Why
We collect only the personal information we need for identified purposes including:
• Contact information such as name, address, email, phone.
• Program/camp information such as age, emergency contact and medical information (only as needed to support participation and safety) for workshops, camps and children’s programs.
• Employment or volunteer information: application details, background information
• Donor information: giving history, preferences.
• Website usage data: website logs, cookie preferences, analytics.
We may use the information collected for the following purposes:
• Delivering programs, camps, and services
• Informing you of our activities
• Ensuring participant safety and accessibility
• Managing donors, volunteers, and memberships
• Processing payments and responding to inquiries
• Maintaining security and improving our services and websites
• Hiring and human resource administration
• Conducting statistical and visitor research
Consent
We collect, use, and disclose personal information with your consent or as permitted by law. Consent may be express or implied depending on the sensitivity of the information. Medical or sensitive information requires express consent. When a request for consent is made in writing, it is presented separately from all other information.
Internet users under 14 years of age must obtain permission from a parent or guardian before submitting personal information to us. If we learn that we have collected or received personal information from a child under the age of 14 without the consent of their parent or guardian, we will delete that information.
Your Rights
Subject to applicable laws, you may request:
• Access to your personal information
• A copy of your personal information (including transmission to a third party, where applicable)
• Correction of inaccurate personal information
• Withdrawal of consent
• Deletion of personal information that is obsolete or no longer required for the purposes for which it was collected
To exercise these rights, contact our Privacy Officer (see Section 11). We may verify your identity before processing a request.
Cookies and analytics
Our website may use cookies to improve user experience and measure site performance.
We also use Google Analytics, which collects anonymized traffic statistics. Data may be processed on servers located outside Québec.
You may disable cookies or Google Analytics in your browser, though some site features may not function properly.
Limited Use, Disclosure and Retention
We do not sell, rent, or trade personal information.
Access to personal information is limited to AMCC staff and our partners who require it for legitimate purposes (e.g., donation processing, website hosting, maintenance, or security services).
Before disclosing personal information to a third party, we will notify you to obtain your consent, unless you have provided it already or unless disclosure without consent is permitted under the applicable law. When we disclose personal information, we take reasonable measures to ensure that the information is kept confidential.
We retain personal information only as long as necessary for the purposes identified and to meet legal obligations.
Where purposes have been achieved, we may destroy personal information or anonymize it for serious and legitimate purposes, following applicable laws.
Security Safeguard
The AMCC has implemented physical, technological and administrative measures to protect your personal information against accidental loss and unauthorized access, use, modification and disclosure.
Communication of Personal Information Outside of Quebec
If personal information is transferred to service providers outside Québec, AMCC conducts any assessments and takes such safeguard measures as required under the Act respecting the protection of personal information in the private sector, CQLR c P-39.1.
Protection of Intellectual Property
Cultural materials (written, oral, visual, digital, artistic, ceremonial, or land‑based) exposed or shared by AMCC may belong to the Indigenous communities, Knowledge Keepers, artists, or contributors who provided them.
Unless expressly authorized, reproduction, modification, redistribution, or commercial use of such material is prohibited.
Changes to this Policy
We may revise this privacy policy from time to time. We will note the effective date of each version of our privacy policy.
